Terms of Service

These Terms of Service (“Terms”) govern your use of ReformWithin (“the Service”). By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. The Service
ReformWithin provides practice-management software for hypnotherapy practitioners: a hosted practice page, booking tools, client intake forms, a behavioural assessment, and related dashboard features. We may improve, modify, or discontinue features over time; material reductions in functionality will be communicated in advance where practical.
2. Eligibility and accounts
- You must be at least 18 years old and able to form a binding contract.
- You are responsible for the accuracy of the information you provide and for maintaining the confidentiality of your login credentials.
- You are responsible for all activity under your account.
3. Professional responsibility
The Service is a tool for practitioners; it is not a practitioner. You retain full professional and legal responsibility for your practice, including:
- Holding any certifications, registrations, or insurance required in your jurisdiction.
- All clinical and client-care decisions. Assessment results, AI-generated summaries, and session guides are advisory reference material only and must be reviewed with your own professional judgment before use.
- The content of any communication you send to clients, including messages based on templates we provide.
- Compliance with advertising, health-claims, and consumer-protection rules that apply to your practice.
4. Not a medical service
ReformWithin supports complementary wellness services. Nothing in the Service is a medical device, diagnosis, treatment, or substitute for medical, psychological, or psychiatric care. The behavioural assessment measures self-reported behavioural tendencies; it is not a clinical instrument. You agree not to represent the Service otherwise to your clients.
5. AI-generated content
Certain features generate text using artificial intelligence. AI output may be inaccurate, incomplete, or unsuitable for a particular client. It is provided for your reference, is clearly labelled in the dashboard, and is never sent to your clients automatically. You are responsible for reviewing and editing AI output before relying on it or sharing it.
6. Client data
As between you and ReformWithin, you own the client data collected through your pages. You appoint us as a processor of that data to operate the Service as described in our Privacy Policy. You are responsible for having a lawful basis to collect client information and for responding to client privacy requests.
7. Acceptable use
You agree not to:
- Use the Service for unlawful purposes or in violation of professional regulations.
- Upload malicious code, attempt to breach security, or access other users' data.
- Make medical claims or guarantees of outcomes through pages hosted on the Service.
- Use the Service to harass, deceive, or harm any person.
- Resell, sublicense, or white-label the Service without written permission.
8. Subscriptions and billing
- Paid plans are billed in advance on a recurring basis via Stripe until cancelled.
- You may cancel at any time; cancellation takes effect at the end of the current billing period.
- Except where required by law, payments are non-refundable.
- We may change pricing with at least 30 days' notice; changes apply from your next billing cycle.
9. Intellectual property
We own the Service, including its software, design, assessment methodology, and templates. You own the content you provide (your bio, photos, service descriptions) and grant us a licence to host and display it to operate the Service. Generated page copy and AI outputs for your account may be used freely within your practice.
10. Termination
You may close your account at any time. We may suspend or terminate accounts that violate these Terms, create risk for clients or other users, or fail to pay. On termination, your public pages are unpublished and data is handled per the Privacy Policy.
11. Disclaimers
The Service is provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all warranties, express or implied, including fitness for a particular purpose and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or that any assessment or AI output will be accurate or suitable for any particular client.
12. Limitation of liability
To the fullest extent permitted by law, ReformWithin will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data. Our total liability for any claim arising from the Service is limited to the amounts you paid us in the twelve months preceding the claim.
13. Indemnity
You agree to indemnify ReformWithin against claims arising from your practice, your client relationships, content you publish through the Service, or your breach of these Terms.
14. Changes to these Terms
We may update these Terms from time to time. Material changes will be notified by email or in-app notice at least 14 days before taking effect. Continued use after the effective date constitutes acceptance.
